Terms and Conditions

1. Acceptance

By booking with El Classical Adventures (the "Company"), clients acknowledge and agree to abide by the following Terms and Conditions.

2. Booking Process

Our booking process is consultative. After clients contact us with their preferences, we collaborate to design a suitable itinerary. Once the package is agreed upon, payment details will be provided to initiate confirmation.

Clients will be required to fill out a Registration Form including details such as dietary restrictions, health conditions, and arrival information. Only requests specified in this form are considered contractual.

The Company reserves the right to reject any booking prior to final confirmation.

3. Payment Terms

To confirm a booking, the following payment structure applies:

  • 35% deposit – upon confirmation
  • 45% – due 90 days before departure
  • 20% – due 15 days before arrival

Payments are accepted via bank transfer, credit card, or approved online platforms. All payments must be directed to official company accounts in Tanzania. For group bookings, the primary contact remains financially responsible for the entire group.

4. Price Guarantee

Once the initial deposit is received, quoted prices are locked in except for changes in:

  • Government-regulated fees (e.g., park fees, VAT)
  • Fuel surcharges or currency fluctuations imposed by suppliers
  • Bookings made more than 12 months in advance

5. Changes and Modifications

While we strive to maintain the agreed itinerary, unforeseen events (e.g., delays, weather, strikes, or civil unrest) may require changes. Any added costs from such modifications (e.g., meals, hotel, transport) are the client's responsibility.

Post-booking amendments requested by clients may incur additional fees. Adding services generally does not result in amendment fees.

6. Cancellation Policy

Cancellations made:

  • Within 15 days of arrival: Non-refundable
  • More than 15 days prior: Subject to lodge/supplier policies

If the Company cancels the tour due to unforeseen circumstances (e.g. extreme weather, regulatory changes), a full refund for land services or a suitable alternative will be offered.

7. Insurance

Clients are required to have valid travel insurance that covers medical emergencies, cancellations, delays, and high-risk activities. El Classical Adventures accepts no liability for clients without adequate insurance coverage.

8. Client Behavior & Suitability

We reserve the right to terminate a booking without refund in the event of disruptive, unsafe, or inappropriate behavior. All health and mobility conditions must be disclosed prior to booking to ensure tour suitability.

9. Issues During Travel

Clients must report any issues to their guide or to the Company immediately during the tour. Failure to notify us during the trip forfeits the right to post-tour complaints or claims.

10. Liability Disclaimer

El Classical Adventures is not responsible for service failures, overbookings, force majeure events (natural disasters, civil unrest, wildlife encounters), or third-party delays. Clients accept these risks as part of adventure travel.
